How to attend the
Extraordinary General Meeting (EGM)
on 14 January 2021
Dear Class Representatives,
Please find below the practical details for the Extraordinary General Meeting 2021 (EGM) that will take place on Thursday 14/1/2021 at 19:00.
The agenda of the EGM and all supporting documents can be found lower on this page.
Due to the sanitary restrictions, the EGM will be organised through ZOOM.
The Zoom link sent by email was wrong and has
changed. The button below is the correct one.
Please enter your name when joining the meeting.
Voting requires registration, but attendance is open to all members of the associations without registration. Voting will take place through Nemovote, a secure anonymous online voting platform.
Registration
A registration is needed to obtain voting rights and is available for full members (i.e. members of the administrative board and all class representatives) only.
The registration will take place on-line on:
Wed Jan 13th (in three time slots with three sections per slot):
DE, EN and FI: from 19.00 – 19.30
FR, IT and LT: from 19.30 – 20.00
NL, PT and SV: from 20.00 – 20.30
Thu Jan 14th, all section in parallel from 18:00 to 19:00.
Please use the same buttons as for the sessions on the 13th.
Registration will only take a couple of minutes. Similar to the registration for a general meeting with a physical presence. Please use an ID to identify yourself, but only the photo and name are needed for identification (you may hide the other items of the ID). For technical reasons it will not be possible to register after the meeting has started (Thursday January 14th, 19.00).
Proxies
Each class representative is entitled to have a maximum of 3 proxy votes. If you wish to give another class representative the mandate for a proxy vote, please fill in, print(*), sign and send us a scan or a photo of the proxy vote form. This proxy vote should be mailed to a functional mailbox, which has been created for your section with CC to the parent who will use your proxy vote.

This Extraordinary General Meeting of APEEE Woluwe is convened and organized by members of the association. The collection of personal information is intended only for the purpose of organising and managing the event. The privacy of personal data collected will be respected and protected. Your personal data is regarded as confidential information and we will never communicate it to any third parties. By attending the meeting you confirm that your name and email and possible proxy information can be handled for the purpose of the meeting including voting and meeting records by the organizers of the meeting. The meeting records containing your personal data will be kept for record by the APEEE Secretariat after the meeting and deleted from other temporary stores within two weeks from the meeting. You will also agree to recording of the actual meeting for safekeeping as a record for the minutes.

* If you do not have a home printer, you can fill and save the PDF proxy form with your information and send it without signature. In this case please make sure you send the message with the proxy from the email address registered with the APEEE. We will then send the proxy as an email instead of a signed PDF document.
